Position Summary

This position is vital in supporting the functions of the Sioux Falls School District’s Athletic Department.  The ideal candidate must possess an intrinsic desire to work on behalf of the District’s and State’s student-athletes.  The role requires flexibility to support major events such as the President’s Bowl, Dakota Relays, and the State Track Meet in volunteer coordination, event set up, and event support outside of typical business hours on these identified weekends.  This individual is pivotal in providing exceptional customer service and ensuring the seamless operation of the Athletic Department.

To excel in this role, candidates must possess forward-thinking abilities, delivering accurate and timely information to schools, vendors, District administrators/departments, and other stakeholders involved in SD High School athletics. The role requires the capacity to work independently, troubleshoot issues, and extend support to middle and high school athletic offices. Detailed-oriented tasks, including basic accounting using QuickBooks, budget monitoring for school athletic departments, maintaining master athletic schedules, facilitating payment for event staff, and generating precise reports and publications, are integral to this position. The Athletic Department comprises two staff members: the Coordinator of Athletics and the Athletics Department Specialist.  The work location is the Howard Wood Field Athletic Department offices.  Access to reliable, personal transportation is required

Requirements

Education Level

Associates degree in business or related field. Bachelor’s degree preferred.  District may consider related experience in lieu of education.

Experience Required

One year to three years of related experience.

Physical Requirements

Constant hand-eye/mind-eye coordination, hearing; intermittent keyboarding, use of wrists, hands, fingers, speaking, typing, and writing. Frequent filing, sitting, standing, and walking.

Skills Requirements

The ideal candidate must possess the ability for independent problem-solving and proactive challenge tackling. They should exhibit strong organizational skills to efficiently manage multiple concurrent projects. Exceptional verbal and written communication abilities are essential for clear information dissemination. Moreover, they must collaborate effectively within a team-oriented environment to achieve departmental goals. Maintaining a "solution-oriented" mindset is crucial for fostering constructive problem-solving in the face of obstacles. Additionally, the candidate should consistently meet deadlines and execute tasks swiftly and accurately. Proficiency in Microsoft Office Suite (PowerPoint, Excel, Word, Outlook), Intuit QuickBooks, and Google Drive is necessary for streamlined workflow and organization.

Skills Desired

Experience in an athletics department or a related high-demand office environment is preferred.

Other Requirements

Highly skilled in computer operations and proficient in basic accounting procedures. Demonstrated experience handling monetary transactions and bank deposits with precision and accuracy. Availability to work flexible hours, including evenings and weekends, to support athletic and state events as needed.

Essential Function & Duties

  1. Calendar Management: Efficiently maintain and manage calendars for athletics department staff, overseeing scheduling of meetings, appointments, and events. Pay particular attention to the accurate upkeep of calendars pertaining to Middle School Metro Athletic Conference (MSMAC) events and activities, including Bound and RSchool calendars, to streamline coordination and scheduling processes within the athletics department.

  2. Correspondence Management: Prepare and distribute various forms of correspondence such as letters, emails, memos, and reports related to departmental functions.

  3. Administrative Support: Deliver comprehensive administrative assistance to the athletics department, including but not limited to answering phones, welcoming visitors, typing documents, performing data entry, managing filing systems, and copying documents. Additionally, oversee inventory management and procurement for office supplies, hospitality food and beverage items, and ensure the smooth operation of the mail system.

  4. Record Keeping: Maintain accurately organized records encompassing team results, participation numbers, coaching staff details, coaching materials, athletic information, correspondence, and any other pertinent documents.

  5. Analysis and Reporting: Generate insightful analysis and reports based on the recorded data to provide valuable insights into team performance, participation trends, coaching effectiveness, and overall athletic department operations.

  6. Financial Administration: Assist with basic bookkeeping tasks, including tracking expenses, processing purchase orders, collecting fees, and preparing financial reports.

  7. Payroll Processing: Assist in processing payroll for athletics department staff, including coaches, officials, and other personnel.

  8. Event Coordination: Coordinate logistics for athletic events hosted by the district, including scheduling staff, organizing facilities, managing equipment, and coordinating event personnel.

  9. Communication Management: Manage communication channels for the athletics department, including updating websites, social media platforms, and communication tools to ensure accurate and timely information dissemination.

  10. Meeting Support: Arrange and schedule meetings for athletics department staff, prepare meeting agendas, take meeting minutes, and distribute them as necessary.

  11. Facilities Management: Assist in managing facilities rentals for athletic events, including coordinating schedules, processing rental agreements, and ensuring facility readiness.

  12. Technology Proficiency: Utilize various technology tools and software, including Microsoft Office Suite, Google Workspace, database management systems, and other relevant software applications, to support administrative tasks and operations.

  13. Policy Compliance: Ensure compliance with district policies, procedures, and regulations related to athletics department operations.

  14. Collaboration and Communication: Collaborate effectively with other district staff, school administrators, coaches, parents, and external stakeholders to support the overall goals of the athletics department.

  15. Transportation and Travel Logistics: Coordinate all transportation arrangements for athletic events and activities, including organizing school bus transportation, arranging rental vehicles, and booking hotels for teams and staff traveling to away games or tournaments. Manage transportation spreadsheets, purchase orders, and invoices to ensure accurate record-keeping and financial tracking.

  16. Special Projects: Assist with special projects and initiatives as assigned by the Coordinator of Athletics or department leadership.

  17. Flexibility and Adaptability: Demonstrate flexibility to adapt to changing priorities and willingness to take on new challenges as they arise, contributing to the dynamic and responsive nature of the athletics department.

  18. Customer Service: Provide excellent customer service to internal and external stakeholders, addressing inquiries, resolving issues, and fostering positive relationships within the community.
